Create Sales Order In SAP (VA01)

Complete Step-by-Step Guide

Prerequisites

Before creating a Sales Order, ensure the following are available:

  • Authorization for transaction VA01
  • Customer Master / Business Partner data
  • Material Master data
  • Sales Area (Sales Organization + Distribution Channel + Division)
  • Pricing conditions (if applicable)

Step-by-Step Process

Enter Transaction Code

In the SAP Easy Access screen, type VA01 in the command field and press Enter.

Initial Screen – Order Type & Organizational Data

  • Order Type: Enter the sales document type (most common is OR for Standard Order)
  • Sales Organization: Enter your Sales Org (e.g., 1000)
  • Distribution Channel: Enter Distribution Channel (e.g., 10)
  • Division: Enter Division (e.g., 00)

Press Enter to continue.

Sales Order Header – Overview Screen

  • Sold-to Party: Enter the Customer number (or use F4 search)
  • Ship-to Party: Usually defaults from Sold-to; change if different
  • PO Number (Customer Reference): Enter customer’s purchase order number
  • PO Date: Enter the customer’s PO date
  • Requested Delivery Date: Enter the date the customer wants the goods

Press Enter.

Enter Item Details (Line Items)

  • Material: Enter the Material number
  • Order Quantity: Enter the quantity
  • Plant: Usually defaults; change if needed
  • Item Category: Usually defaults (e.g., TAN for standard item)

Press Enter. The system will automatically determine pricing, availability (ATP), and schedule lines.

Check Pricing (Optional but Recommended)

Go to the Conditions tab (item or header level) and review price, discounts, taxes, and freight. You can manually adjust conditions if authorized.

Check Schedule Lines / Availability

Double-click the item or go to the Schedule Lines tab. Confirm the confirmed quantity and delivery date. If stock is insufficient, the system shows partial confirmation.

Add Additional Information (if needed)

  • Partners tab → Verify Sold-to, Ship-to, Bill-to, and Payer
  • Texts tab → Add header or item texts
  • Shipping tab → Check shipping point and route
  • Billing Document tab → Review billing-related data

Save the Sales Order

Click the Save button (or press Ctrl + S). The system generates a unique Sales Order Number. Note it down for future reference.

Quick Process Flow

VA01 → Order Type (OR) + Sales Area → Sold-to Party → Material + Qty → Enter → Check Pricing / ATP → Save

Helpful Tips

  • Always check the ATP (Available-to-Promise) result after entering quantity.
  • Use F4 help for Customer and Material searches.
  • If you receive the error “No pricing procedure determined”, pricing configuration is missing for that sales area.
  • For rush orders, quotations, or contracts, use different Order Types (e.g., RE, QT, CQ).
  • You can create a sales order with reference to a Quotation or Contract using the “Create with Reference” button.
