Create Sales Invoice In SAP (VF01)

Complete Step-by-Step Guide

Prerequisites

Before creating a Sales Invoice (Billing Document), ensure the following are completed:

  • Authorization for transaction VF01
  • Sales Order has been created (VA01)
  • Outbound Delivery has been created and Goods Issue posted (VL01N / VL02N)
  • Customer master and pricing conditions are correctly maintained
  • Billing due list is available (or you know the Delivery / Sales Order number)

Step-by-Step Process

Enter Transaction Code

In the SAP Easy Access screen, type VF01 in the command field and press Enter.

Enter Document to be Billed

  • In the Document field, enter the Outbound Delivery number (most common) or Sales Order number
  • You can also enter multiple documents if needed
  • Press Enter

Alternatively, leave the field blank and use the Billing Due List (recommended for mass billing).

Select Billing Type (if required)

  • The system usually defaults the Billing Type (e.g., F2 for Invoice)
  • Common Billing Types:
    • F2 – Invoice
    • G2 – Credit Memo
    • L2 – Debit Memo
    • S1 – Cancellation Invoice

Review Billing Document Overview

The system displays the billing items copied from the delivery/sales order. Check the following:

  • Customer (Bill-to Party)
  • Material and Quantity
  • Net Value / Prices
  • Taxes
  • Billing Date

Check Header & Item Data

  • Go to Header → Header Details to verify billing date, payment terms, and partner data
  • Go to Item → Item Details or Conditions tab to review pricing and taxes
  • Correct any data if necessary (if authorized)

Save the Sales Invoice

Click the Save button (or press Ctrl + S). The system generates a unique Billing Document Number (Invoice Number).

Note down the Billing Document number for accounting and customer communication.

Accounting Document Generation

Upon saving, SAP automatically creates the corresponding Accounting Document in FI (if the billing document is released to accounting). You can view it later using VF03 → Accounting button.

Quick Process Flow

VF01 → Enter Delivery / Sales Order → Review Data & Pricing → Save → Billing Document Created

Use VF04 – Process Billing Due List

  • Go to transaction VF04
  • Enter selection criteria (Billing Date, Sales Organization, Sold-to Party, etc.)
  • Execute → System shows all documents due for billing
  • Select the required documents and click Billing Document
  • Save to create the invoices

Helpful Tips

  • Most companies bill from the Outbound Delivery after Goods Issue is posted.
  • If the invoice is blocked for accounting, use VFX3 to release it.
  • You can create Credit Memo (G2) or Debit Memo (L2) using the same transaction by changing the Billing Type.
  • Always verify the Billing Date and Pricing Date before saving.
  • After saving, print or email the invoice using output determination (or transaction VF31).
  • Use VF03 to display the invoice and check the accounting document.
